Workflow Automation

Create, manage, and apply automation rules to streamline workflow

The Workflow Automation Rules feature within the DigitalStakeout Scout platform is a powerful tool designed to automate actions based on specific data criteria in Scout. It allows users to create, manage, and apply rules to streamline their workflow and respond quickly to relevant data patterns.

  • Rules: Users can create and manage custom rules to automate actions based on specific data patterns or criteria.

  • Email Templates: Customizable templates for sending automated emails when a rule is triggered.

Creating and Managing Rules:

  • Create New Workflow Automation Rule: Users can create new rules to automate actions for data in Scout.

  • Change Rule Data Source: Modify the data source for a rule to apply it to different sets of data.

  • No Rules/Rule List: View the current list of rules or a notification if no rules are set.

Rule Configuration Options:

  • Status: Enable or disable the rule (Enabled/Disabled).

  • Name of Rule: Specify a unique name for the rule.

  • Description of Rule: Provide a description or details about what the rule does.

  • Notify on Match: Choose whether to receive notifications when the rule matches data (Yes/No).

  • Repeat Notice: Set the frequency for repeat notices (1 Hr, 24 Hrs, etc.).

  • Risk of Match: Indicate the risk level associated with a match (High, Elevated, Low, None).

Actions to Perform:

  • Send Email (Combined Results): Send an email with combined results when the rule is triggered.

  • Send Individual Email Per Match: Send separate emails for each match.

  • Apply a System Tag: Automatically tag matched data with a predefined system tag.

  • Apply User Defined Tag: Automatically tag matched data with a custom user-defined tag.

  • Publish to Alert API: Send matched data to an alert API for further action or integration.

Additional Configuration:

  • Matches Required: Specify the number of matches required to trigger the rule.

  • Require Repeating Entity: Choose an entity type that must repeat for the rule to trigger.

  • Unique Repeat Count: Define how many unique instances are required for a repeating entity.

  • Repeating Time Window: Set the time window for counting repeats (e.g., 5 minutes, 10 minutes).

  • Filter By Word List: Apply a word list filter to refine the rule's applicability.

  • Relevancy: Set a relevancy score threshold for the rule to apply (e.g., 13+, 23+).

  • Boolean Filter: Define 'Text Must' and 'Text Must Not' criteria for further refinement.

  • Filter By Tag: Include or exclude data based on specific tags.

  • Filter By Entity: Narrow down the rule to apply to specific entity types (e.g., Country, Phone, Location).

  • Filter By Location: Apply the rule to data from specific locations.

The Workflow Automation Rules feature enhances the efficiency and responsiveness of the DigitalStakeout Scout platform by allowing users to automate critical actions based on the data they monitor. By setting up customized rules, users can ensure timely responses, streamline their workflow, and focus their attention where it's most needed.
